Site Success Review: What Site Directors Need to Know

Understand what to expect when a Site Success Review takes place at your program.

The former Site Observation Tool has been renamed the Site Success Review.

The updated process is designed to make reviews more flexible and better reflect what is happening at a site during normal program operations.

Site Directors do not complete the Site Success Review themselves. Reviews are conducted by your manager or another Certified Reviewer.

The review process is also more flexible.

A reviewer does not have to complete the entire review during one visit. If there is only enough time to observe one section, they may complete that section and return during another visit to continue the review.

This allows reviewers to work within the normal flow of the program instead of requiring every part of the review to happen at once.

When Reviews Can Happen

For the current review period:

November 2, 2026
Site Success Reviews begin.

November 2–December 31, 2026
A review may take place at any point during this window.

Reviews are surprise visits, so Site Directors should not expect to receive a scheduled review date in advance.

December 31, 2026
All five parts of the Site Success Review must be completed for every program.

January 4, 2027
Q3 begins, and quarterly Site Success Reviews continue.

How the Review Works

The Site Success Review includes five parts that look at different areas of site success.

Your manager or another Certified Reviewer may complete:

  • One section during a visit
  • Several sections during a visit
  • The remaining sections during future visits

You may therefore see a reviewer at your site more than once during the review period.

The reviewer is responsible for completing and documenting the review. Site Directors are not responsible for entering the review.

What to Expect During a Visit

A Site Success Review is intended to provide a consistent look at everyday program operations.

During a visit, the reviewer may observe the site, program routines, staff practices, and other areas included in the Site Success Review.

Because the visits are unannounced, the goal is not to create a special “review day.” The review should reflect how the program normally operates.

Your reviewer may also share feedback, identify areas of success, or discuss opportunities for additional support.

How to Stay Ready

You do not need to prepare for a specific visit date.

Instead, become familiar with the Site Success Review Outline and use it as a reference for strong everyday site practices.

The easiest way to stay ready is to:

  • Know what is included in the Site Success Review
  • Review expectations with your team as needed
  • Use your Site Success Guide throughout the year
  • Ask your manager questions when you need clarification or support
